1. Explain why it is important to write a rough draft.

It is important to write a rough draft to get all of your thoughts and ideas on paper. Once the ideas are listed it is essential to go back and read them. During this time any thoughts left out could be added to the notes. After all thoughts are in place the letter can be formatted to meet the tone and writing styles needed to get the point across. A letter or note must be edited for spelling and grammar errors. If the original message was sent and errors were not corrected the message would have a negative effect. A poorly constructed message is not taken as serious as it should and the sender can lose credibility. A letter that is grammatically correct and the thought process is in logical order will be taken serious by the audience reading it.

2. Explain why it is important to write an agenda before meeting. What is the importance and pros?

It is important to have a well thought out agenda before the meeting is announced. This is so that only the necessary personnel attend, therefore not wasting their time or company money. This will help to keep the meeting flowing and on track. A meeting that is not prepared for will be counterproductive and the attendees may not leave with a positive attitude towards the addressed issues. To have an agenda listed it will inform the attendees to prepare all necessary materials needed. An agenda keeps the meeting on track and will help to keep a meeting within a set time. Without an agenda all necessary attendees may not feel a need to waste their time on a meeting that the manager did not have well organized.
