We have to complete many tasks every day, the effective time management is to identify what is important and what is urgent task. We should spend focus first on important tasks and then deal with urgent tasks (reading 4.2 rule 4). Therefore I am going to make a weekly 'to do" list to mark down the important matters as my high priority tasks in every Monday. It would make me to spot the important tasks out from many tasks and learn to give away or delegate not important and trivial tasks to other colleagues.

Everybody has usually the particular time with most productive during the day, we save our best time for important matters (reading 4.2 rule 9). I have most energy in the first 2 hours of morning time, I would schedule important meeting or doing analysis reports/documents and review important contract at that time. In order to avoid any interruptions, I would inform my sub-ordinates to take the message for any external call to me during my productive time. It would be most effective to complete the job. The afternoon time is fixed for doing the routine matters (reading 4.2 rule 15) or reply not urgent call or short meeting with sub-ordinates as these jobs need less energy.

As doing business in China, I always have the meetings with the PRC colleagues via phone or face to face. The concrete, efficient and effective meeting is most important. I would draft an agenda and meeting time before a week of meeting to relevant staffs (reading 4.2 rules 5,6 and 7) and request them to prepare information and suggestions to me 1 day before meeting. This way is very useful to concentrate our discussion on the matters on agenda and meet our schedule.
