Business Requirement Definition
United Blood Services (UBS) must do more than consider replacing the old answering service they have relied on for the past twenty-nine years. UBS needs to take the steps to begin the transition to the new system. The new Extranet System will not only streamline the ordering process, it will save UBS time, money, and most importantly, lives.
The Extranet System will enhance order efficiency, accuracy, consistency, and response time making fatal human error less likely. The Extranet System will also give the on-call staff the ability to respond to ASAP or STAT orders instantly from their home computers. The system will also be able to differentiate an emergency from a non emergency such as technical questions. There are also Extranet Systems that can help
manage inventory or supply.
When proposing to use the new Extranet System there are several concerns that have to be addressed before implementation can occur. First, will UBS have customer buy-in; will there be acceptance of the new system? Training internal employees at UBS can be easy enough but what about external customers? Are they willing to learn a new
system? Does the benefit out-weigh the risk? How much time and money is involved? Lastly, how will UBS know the system is doing what it is suppose do and will UBS know before it is too late?
Considering that the Extranet System can reduce response time in an emergency, UBS cannot afford to not upgrade their system. In order to gain acceptance from external users UBS may want to consider a trial run (for non-emergency orders) of the new Extranet System. This will enable UBS to evaluate if the new system has improved the
order process or not.
A trial run will also give external users a chance to get familiar with the system in
a controlled situation so when an emergency does arise, external users will know exactly what to do. Another fix to the customer buy-in/training dilemma is some systems offer the extreme-ease-of-use ten minute training. UBS can also run tests make sure that ASAP or STAT orders are being recognized by the system and that on-call employees are
notified.
