Intro, Job JSA Requirements, Recruitment & Selection

All jobs hold different positions and responsibilities that go along with each specific position one holds. I currently work at Douglas Volkswagen in the Service Department as a cashier. My main responsibilities are to direct calls to the appropriate person/department, file invoices so that when customers come to pick their car up the paperwork is easy to locate, take payments(cash, credit/debit, check) when customer’s cars are done being serviced, and if a service is going to take longer than expected I am to put customers into loaner cars using an online car rental agreement application.  Additionally, once a customer picks their car up and pays their bill I have to close the invoice out using Reynolds Application that allows me to input how the customer paid and closes the invoice on my end so that the accounting department is able to do their part.  The title of my supervisor is Service Manager, i report to him regarding my paycheck, any days off I need, and if I’m having any problems whether it be with a customer or fellow co worker.

Furthermore, KSA’s are needed in every job. For my position, knowledge of the credit card system, the loaner car application, and Reynolds the invoice closing application are needed to perform the job accurately.  Some skills needed to hold a cashier position at my job are good communication skills to engage with customers and other employees, multitasking skills because the phone will be ringing off the hook while there’s a line of customers, and organization skills because things can get crazy, but if you’re not organized then paperwork won’t be filed correctly and the company could lose money. As for abilities, initiative and problem solving abilities are probably the most important to have for this job because sometimes customers come to pick their car up and rarely either the paperwork is missing or they leave and the car is still having the same issue so as a cashier if everyone else is already gone for the day, so the cashier must be able to troubleshoot quickly.   Basic intelligence is also another ability one needs because of simple math is needed to do when collecting cash payments.  Additionally color vision to see which loaner cars have a yellow tag or blue tag which decides what loaner a customer will get depending on their car insurance carrier.  Of the above KSA’s listed, good organization, communication and multitasking skills along with basic intelligence and color vision were a requirement for the job. I did have prior dealership experience, but used a different application for loaner cars and credit card payments, so that had to be learned on the job. In addition to this, the way I was recruited for this job was through an online website called Craigslist. Being that this is not solely a job search website I can’t say it was 100% appropriate to put an ad for a job on that website, especially because Craigslist doesn’t have a good reputation with jobs.

Other recruitment methods that would have sufficed, but weren’t used in my case would have been to put an ad on a professional search engine such as Indeed, Monster, Ziprecruiter, etc. Another could have been an employee referral as another way to recruitment a cashier since we are a big company. Advantages of using an online job search website is that it it’s cost effective to the company, you get immediate responses, it’s more effective, and overall it’s an easy thing to do, but on the other hand some disadvantages are the large response rate may make it hard to narrow down the right candidates and it’s also informal for a professional company. Advantages to employee referrals is the fact that they are very effective and employee referrals are more likely to have longer tenure with the organization than employees recruited any other way. Another advantage is the monetary benefit for the employee referring the possible candidate, of course there are some limitations such as the referral having to stay with the company for a year, but nonetheless the benefit is there.  The disadvantages to recruitment style is that if the candidate is recruited by a current unsuccessful employee then the referral employee would most likely be unsuccessful as well. Another disadvantage is referrals are more likely to be of the same characteristics of the employee referring them, same gender, race, and national origin, so it could lead to discrimination problems if the company relies heavily on employee referrals.
